Live Mode

The schedule on the left, the active patient in the middle. Staff load a booking and the entire context — history, briefing, plans, results — is already there.

  • Today, at a glance

    The sidebar groups today's bookings for the chosen location into In Progress, Upcoming, Past, and No-Show. Click any card to load that patient into the workspace.

  • An AI briefing for the visit

    Generate a summary built from recent notes, form submissions, and booking history. Approve it, regenerate it, or read it as-is before you walk in.

  • Filter to your day

    Switch locations from the top, or toggle 'show my appointments only' to narrow the list to the bookings you're seeing as a provider.

  • Know when you're running over

    An in-progress visit shows a progress timer against its expected duration — and turns red the moment the visit runs past its scheduled time.

  • Context before you open a record

    Each card surfaces new-patient flags, patient tags, insurance type, and the provider — so staff read the room without opening the full file.

  • The patient, in focus

    Name, patient-since summary, and the assigned team member sit up top. Confirm ownership and read a one-line summary of insurance, tags, and contact right there.

  • Pin what matters

    Keep one note pinned to the top of a patient's record — the long-running context, like a standing concern, that should greet whoever opens the visit.

  • Plans and results, inline

    Preview active treatment plans and the patient's most recent lab results without leaving Live Mode — just enough to reference mid-visit.

  • History where you need it

    Recent notes, past completed appointments, purchases, and invoices are all one scroll away — the full backstory, scoped to the patient in front of you.

Run the whole visit from the cart.

Visit status, notes, forms, diagnoses, and additional services all live in the right-hand cart — so the work of the visit happens in one column, in order.

  • Move the visit forward

    Mark the stage as it happens — In Waiting Area, In Treatment, Checkout — and it updates in real time. Marking a no-show asks once before it sticks.

  • Speak your notes

    Click the microphone on an in-progress visit and dictate. Your words transcribe into the note editor and auto-save against the patient and booking as you talk.

  • Forms, done before you start

    When forms are enabled, the cart lists every pre-appointment form for today's services and shows what's still missing versus complete.

  • Hand the patient their forms

    Show a QR code, email a link, or send an SMS — all to the same patient-portal entry point. The patient fills them out on their device and status updates live.

  • Upload paper forms

    If a form came in on paper, upload the PDF straight from the cart. It files as a patient document and satisfies the requirement on the spot.

  • Add diagnoses in one tap

    The diagnosis card shows codes from today and suggests recent ones from the last two months. Tap a suggestion or search for a new code — it auto-saves to the visit.

  • One visit, many services

    Add an extra service variant to today's visit from a searchable list. The cart gathers every confirmed, in-progress, and completed booking for the patient.

One slide turns a finished visit into invoices. Live Mode collects the billable items and walks checkout to paid, then returns you to the day.

    Slide to checkoutWhen the visit is done, drag the slider at the bottom of the cart. It gathers every billable booking for the patient today and opens the checkout flow.

    ReviewCheck line items, subtotal, any voucher discount, and the total — with warnings for anything that isn't ready to bill — before continuing.

    Finalise invoicesCheckout creates the invoices and tracks the queue. Work each one to finalised, then it advances on its own.

    PaymentChoose the payment provider and shipping where it applies. circleOS preselects when there's only one sensible option.

    Mark paidCheckout watches invoice status and refreshes until every linked invoice reads as paid — with a manual refresh on hand if you need it.

    Back to the visitOnce everything's paid, checkout closes and drops you straight back into the booking in Live Mode, ready for the next patient.
