AI briefings give your team a short visit summary before the patient arrives. Each briefing belongs to one booking, so staff can come back to the same summary later.
What a briefing contains
A booking briefing is generated from the booking plus recent patient context. Depending on what is available, it can use:
- recent notes
- recent form submissions
- required forms for the service
- recent booking history
- the current service, variant, provider, and appointment details
The exact wording depends on the patient data available and the prompt configured for your workspace.
Where to use booking briefings
You can work with a briefing in two places:
- Booking detail: create, read, edit, regenerate, approve, or move back to pending review.
- Live Mode: create, read, and regenerate while staying in the visit workspace.
Creating and reviewing a briefing
If a booking has no briefing yet, create it from the briefing section. circleOS gathers the appointment context, recent notes, recent form submissions, and relevant form requirements, then generates the summary.
On the booking detail page, you can:
- Read the generated summary
- Edit the text manually
- Regenerate to replace it with a fresh version
- Approve when the summary is ready to use
- Move it back to pending review if an approved briefing needs another review pass
In Live Mode, you can create, read, and regenerate the briefing while staying in the patient workspace. Editing and approval still happen on the booking detail page.
Briefing statuses

| Approved | Reviewed and confirmed by a team member |
New briefings start as pending review after generation. Regenerating a briefing sends it back to pending review so it can be checked again. On the booking page, an approved briefing can also be moved back to pending review without regenerating it.
Daily Slack briefings
circleOS can also send a daily patient briefing digest to Slack. This is separate from per-booking briefings. It is meant for a quick overview of the day, not for editing or approving one visit summary.
Configure daily Slack briefings in Settings → Notifications → Briefings:
- Enable or disable the daily briefing
- Choose the Slack channel
- Set the briefing time
- Edit the prompt used for the daily summary
Daily Slack briefings use their own prompt and format. Use them as a morning overview, and use the booking briefing when you need visit-specific context.
