circleOS is built around the rhythm of a practice day. Use this as a simple checklist: open the day, prepare each visit, work in Live Mode during the consultation, then finish documentation, checkout, and follow-up before you close up.
Start of day
Open Bookings from the sidebar, or press Option/Alt+B, to see the schedule. When visits begin, open Live Mode. Live Mode brings together today’s booking list, the active patient workspace, and the visit cart for visit tasks such as diagnoses, forms, purchase work, and checkout.
If your practice has multiple locations, switch between them with Option/Alt+1 through Option/Alt+9. Use Option/Alt+0 to clear the location filter and show all locations.

Before the visit
Open the patient from Bookings, Patients, or Live Mode when you need the full profile. The patient page is the most complete place to check contact details, plans, entitlements, diagnostic results, invoices, documents, form submissions, purchases, communication history, and event history.
- Review tags and assignment to see who is responsible and any patient flags your team uses.
- Check diagnoses to review what is already on file. See Diagnoses for how diagnosis codes work in circleOS.
- Open an AI briefing from Live Mode or the booking detail to get a short pre-visit summary. See AI Briefings.
During the visit
Live Mode is the primary workspace during a consultation. Select the booking in the sidebar, then work through the visit without jumping across multiple pages.
Depending on your setup, Live Mode can give you:
- Today’s booking list in the left sidebar.
- Pinned note, briefing, plans, diagnostic results, and recent notes in the main workspace.
- Visit status, forms, diagnoses, purchase tasks, and checkout in the right-hand visit cart.
Common in-visit tasks are:
- Document in notes. Write directly in the notes section. Add diagnoses from the diagnosis control so the codes stay attached to the note that created them.
- Check forms and documents. Required forms can show their status in the cart. Upload consent forms, reports, or scanned paperwork from the patient workflow when needed.
After the visit
When the visit is done, finish the operational steps before moving on:
- Finish documentation. Make sure the note is published, diagnoses are attached if needed, and any required forms are complete.
- Check out. Use Slide to checkout in Live Mode to open billing for the eligible bookings from that visit. See Checkout for the full flow.
- Create follow-up work. Use actions on the patient, booking, plan, form, or lab order when the next step should already be queued for the team.
End of day
Before closing up, run through three checks:
- Unfinished documentation. Filter bookings or patients to find visits that still need notes, diagnoses, forms, or billing attention. Save a “Needs documentation” or “Unbilled visits” filter as a Custom View so it is always one click away.
- Open invoices. Check the invoices and payments lists for outstanding amounts that need follow-up.
- Notifications and handover. Open the bell icon in the top bar for mentions and alerts. See Notifications for how personal and team notifications work. Use Notes and pinned notes for quick handover context between shifts.
