Patient profiles are the centre of day-to-day work in circleOS.
The Patients page
The Patients page is the main list of people in your workspace.
From there you can:
- search and filter patients
- open a patient profile
- see tags and assignment at a glance
- copy the patient ID or phone number from row actions
If you already know who you need, the Search & Command Bar is usually faster.
Ways to add a patient
Add one from the Patients page
- Open Patients.
- Click Add.
- Fill in the quick-create form.
The quick-create form covers the day-to-day basics:
- first name
- last name
- phone
- patient type
- language
- source
After saving, circleOS opens the new patient profile immediately.
Add one from the Front plugin
If your workspace uses Front, circleOS can create a patient when no matching person is found for the current conversation.
Import many at once
Open Settings -> Data & Search -> Import Patients to upload a CSV.
The import screen reports:
- processed rows
- created rows
- updated rows
- skipped rows
- row-level errors
Editing patient details
Most edits happen from the patient profile itself.
Open the patient, then use Edit Details or the add/edit controls in the summary area.
The full editor has three tabs:
- Basic for name, contact details, patient type, language, and source
- Medical for birthday, gender, and insurance
- Address for the billing and mailing address
The split is intentional:
- quick create gets the patient into the system fast
- the full editor is where you complete the record properly
What you can manage directly on the profile
Without opening the full editor, the profile also lets you work with:
- tags
- assignment
- the pinned note
- appointments
- plans
- entitlements
- diagnostic results
- invoices
- documents
- form submissions
- purchases
- communications
- events
Open in external tools
Some patient profiles show an Open in... menu.
These links only appear when the workspace has the relevant integration and the patient has the needed linked record. Common examples include:
If the link is missing, either the integration is not connected or that patient is not linked there yet.
