Tags are one of the simplest ways to organise patients in circleOS.
They work especially well for operational groups such as:
- programmes
- follow-up cohorts
- insurance or billing workflows
- internal routing labels
Create tags
Create and manage tags in Settings → Workflow → Tags.
When you create a tag, you can set:
- a name
- a colour
- an optional icon
- an optional description
That settings page is mainly for:
- creating new tags
- searching existing tags
- deleting tags
- opening the matching patient list for one tag
Each tag row also has a shortcut that opens the matching patient list directly. This is useful when you want to review or work through everyone who already has that tag.
Add or remove tags on a patient
On a patient profile, use the tag picker in the summary chip row. The same kind of picker is also used in Live Mode.
From there you can:
- search existing tags
- add a tag to the patient
- remove a tag from the patient
Changes are saved immediately.
Patient pages and Live Mode use existing tags. Create the tag first in Settings → Workflow → Tags, then apply it to patients where needed.
Filtering by tags
On the Patients page, use the Tags filter to show only patients with the tag or tags you need.
From Settings → Workflow → Tags, each tag also has a shortcut that opens the matching patient list directly.
This is useful for one-off work, but also for building reusable filtered views.
Save tag-based views
After filtering by tags, use Save View to pin that filtered list to your sidebar.
That gives you quick sidebar access to lists such as:
- patients in a programme
- patients waiting on a certain follow-up
- patients handled by a specific workflow
You can rename or remove those saved views later from the sidebar. For the general pattern, see Custom Views.
Automatic tagging
Some workspaces also apply tags automatically from offering settings.
- Services can auto-tag a patient when that service is booked.
- Products can auto-tag a patient when that product workflow is configured.
In the current setup, a service or product can add one or more tags, not just one. Use this when you want an operational label to stay in sync without adding it manually each time.
Tag-based Messaging Audiences
If your workspace uses Knock, circleOS can keep matching audiences in sync automatically.
- When a tag is created, circleOS can create a matching audience.
- When a patient gets tagged, they can be added to that audience.
- When a tag is removed, they can be removed from it again.
