Locations

Set up how each location appears and how it connects to scheduling, stock, and invoicing.


Locations live under Settings -> Scheduling -> Locations.

Use them to control where services are offered, which providers work there, and how that place maps to your scheduling, commerce, and invoicing systems.

Add a location

  1. Open Settings -> Scheduling -> Locations.
  2. Click Add.
  3. Pick the address first.
  4. Enter a name and choose a pricing region.
  5. Create the location, then open it to finish setup.

The create flow will not finish until a pricing region exists, so set up regions first if this is a new workspace.

What to configure on the location page

Each location has four tabs:

  • Details for the main setup
  • Services for what can be delivered there
  • Providers for who works there
  • Metadata for optional custom fields

The sidebar also shows readiness cards, the visibility toggle, and a compact location summary.

Details

The Details tab is where most setup happens.

Use it to review:

  • the location name, description, image, and address
  • the pricing region
  • the stock location used by the commerce engine
  • the scheduling engine for that location
  • the external scheduling location mapping, when the selected engine supports it
  • the external invoicing location mapping
  • additional settings such as visibility, timezone, Google Maps link, review link, and email images

If the connected scheduling engine returns opening hours for the mapped location, circleOS shows them here as a read-only reference. They help you confirm the upstream setup, but you do not edit them on this page.

If your workspace uses SimplyBook, it is normal for scheduling-location mapping to work differently. In that case, provider and service-variant readiness usually matter more than a location mapping.

Services

Use Services to decide what is available at this location.

  • Turning on a service enables its variants at this location.
  • Turning off an individual variant creates an exception.
  • A service can appear as partially enabled when only some variants are active.

This is the first place to check when a service exists in circleOS but is missing for one clinic or room.

Providers

Use Providers to confirm who is assigned to the location and which service variants they offer there.

This tab is useful when booking availability looks wrong for one location. In most cases, the issue is either:

  • the provider is not assigned to the location
  • the needed service variant is not enabled there

Metadata

Use Metadata only for optional key-value fields that support custom workflows or integrations.

If you do not already have a specific use for a metadata field, leave this tab alone.

Archiving a location

Archive a location from the page actions menu when it should no longer be used day to day.

Archived locations can still be opened when needed, but they should not be treated as active setup for booking or operations.
